Inbox zero means clarified, not done.
Inbox zero means every item in the inbox has been looked at once and a decision made: it is trash, reference, something for someday, a next action, or something you are waiting for. The inbox is empty because the decisions are made, not because the work is. In Getting Things Done® this is the clarify step; the phrase itself comes from Merlin Mann. Empty is a state you decide, not a feeling you arrive at.
- Is it actionable?no → trash, reference, somedaythree of the five places
- What is the next action?yes → one physical stepunder two minutes: do it
- Whose is it?mine → next actions or calendarsomeone else’s → waiting for
Inbox zero became a badge and then a joke, because it was sold as an empty mailbox at the end of every day.
So people archived everything, felt clean for an hour, and met the unmade decisions again two weeks later as stress.
An empty inbox with fifty undecided items in the archive is not zero. It is hidden.
The steps
Take the top item, only the top
No scanning for the easy one. The order is the order.Ask: is there anything to do?
No: it is trash, reference, or someday. It leaves the inbox and does not become a task.Yes: what is the next physical action?
Under two minutes, do it now. Otherwise write it down with context and minutes.Put it where it belongs, then the next item
Yours: next actions or calendar. Someone else’s: waiting for. Nothing goes back into the inbox.
The proof
Next item.

Questions
Is inbox zero the same as an empty email inbox?
No. Email is one inbox among several: paper, notes, voice memos, the things in your head. Inbox zero is about all of them, and it means decided, not deleted. An email archived without a decision is still in the inbox; it has only changed folders.
How often should I empty the inbox?
Once a day is enough for most people, and once a week at the latest, in the weekly review. Emptying it every hour turns clarifying into a distraction. The inbox is allowed to be full during the day; it is not allowed to be full for a week.
What happens to items I cannot decide on?
“I cannot decide” usually means one of two things. Either the next action is to find out, which is a real action and goes on the list. Or you do not care enough, which makes it someday or trash. Skipping the item and leaving it in the inbox is the one outcome the method does not allow.
